Reporting to the Chief Administrative Officer (CAO) or designate, the Executive Assistant is responsible for providing comprehensive executive-level administrative support to the CAO and the Mayor. The role serves as the primary point of contact to the CAO and is responsible for the effective and efficient administration of day-to-day administrative operations in the Office of the CAO.
Position Responsibilities:
- Attends Committees, Council, and other meetings as necessary, assists in the preparation of reports and recommendations, formal presentations, and responds to questions and inquiries as required.
- Collaborates with other Departments, liaises, and communicates with external stakeholders, including other governments, agencies, residents, and elected officials, and responds to inquiries to advance the business of the Town.
- Implements, supports, and promotes a collaborative internal and external customer service focused environment.
- Demonstrates a commitment to professional development and maintains relevant professional association memberships.
- Provides high-level confidential administrative support and research assistance, ensuring the secure handling of sensitive information, compliance with privacy standards, and professional discretion in all communications.
- Prepares confidential memorandums, reports, presentations, briefing materials, and internal staff communication.
- Researches and gathers information, prepares fact sheets, key messages, and background for media releases, website content and other corporate materials. Assists with proofreading and editing materials for publication from the CAO and other departments.
- Assists in managing the CAO’s schedule by coordinating appointments, meetings, and events, and ensures all logistical arrangements are finalized and confirmed including travel arrangements, accommodations, appointments and meetings; registers for workshops and conferences, which may include booking meeting rooms, ordering refreshments and performing set-up/clean-up tasks, for the CAO, Mayor and Members of Council attending functions on behalf of the Corporation. Arranges for rescheduling, cancellations and confirmations, as required.
- Assists with records and file management including overseeing both electronic and physical filing systems for the CAO and retrieving files and records efficiently to support administrative needs.
- Assists in the development, tracking, and analysis of corporate performance metrics, in coordination with members of the Finance Department.
- Responds to, or redirects where appropriate, inquiries from the public received via the Town website, social media, phone, email or in person.
- Administers, coordinates and monitors the Department budget. Order supplies and reviews invoices related to the CAO and Mayor activities to be submitted for approval including preparation and processing of credit card reconciliation and expense reports.
- Acts as the liaison between the CAO and internal and external contacts, working collaboratively to ensure the efficient and effective function of the Office of the CAO.
- Coordinates with Town departments, community groups and other levels of government requesting attendance of the CAO and Mayor at events/functions.
- Coordinates and supports Leadership Team meetings, including recording and distributing minutes; collecting documents and data as requested and generating reports, statistics and action plans on behalf of the CAO; assists the CAO with Leadership Team projects and activity management and conducts follow-up, as required.
- Maintains a high level of diplomacy, a positive image and high standard of customer service and public relations service for the Office of the CAO and the Mayor.
- Arranges and coordinates special events including flag raising events, staff events and staff engagement/recognition initiatives, in collaboration with other departments.
- Assists with the coordination and execution of Council Corporate events, such as Council Inauguration and Council Orientation.
- Regularly reviews and evaluates Department administrative and service delivery processes with a focus on continuous improvement and customer service excellence.
- Assists in regularly reviewing, assessing, and reporting on Department objectives and performance and devises and recommends strategies for performance enhancement.
- Assists in the coordination of Department objectives in collaboration with the CAO and supports implementation of the Town’s strategic plan and budgeting and business plan activities, serving as a champion of the Town’s mission and values.
- Practices discretion and maintains confidentiality of sensitive information in accordance with privacy and employment legislation.
Qualifications and Experience:
- Post secondary degree or diploma from an accredited university or college in Office Administration, Business Administration, Public Administration, Communications or a related program, or equivalent.
- Five (5) years of progressive, related administrative experience at an executive or senior management level, preferably in a municipal government or public sector environment.
- Completion of the AMCTO Municipal Administration Program, an asset.
- Experience assisting with developing and implementing procedures, policies and standards, an asset.
- Excellent office management skills, including calendar and email management, time management and, the ability to meet critical and irregular deadlines.
- Experience supporting event organization, catering coordination, and organizing travel and accommodation.
- Knowledge of the budgetary process and experience monitoring operational and capital budgets, an asset.
- Experience in preparing meeting materials and minute taking.
- Standard First Aid and CPR-C or willingness to become certified, an asset.
- Good working knowledge of the Municipal Act, Planning Act, Accessibility for Ontarians with Disabilities Act, Occupational Health and Safety Act and WHMIS 2015.
- Excellent interpersonal skills including the ability to work effectively in a team environment and to exhibit courtesy, tact, and diplomacy in dealing with the public, department officials and other members of staff. Ability to adhere to confidentiality requirements at all times.
- Possess a high degree of integrity due to exposure to and coordination of confidential and/or sensitive information.
- Excellent written and verbal communication, administrative, customer service, organizational, analytical, research, critical thinking, judgement, and problem-solving skills.
- Excellent knowledge of Microsoft Office software applications including Excel, Word, Outlook, and SharePoint. Experience using iCity and FMW software is considered and asset.
- Ability to provide a current and acceptable criminal record check.
- Possess the physical ability to perform the essential duties of the job.
- A valid Class “G” Ontario Driver’s License in good standing with a current acceptable Driver’s Abstract and a reliable vehicle to use on corporate business.
